Machinery export to countries outside the EU
When a machine leaves the EU, customs formalities are added to the transport plan: export declaration, import in the destination country and documents that travel with the machine. We clarify who handles which formality before quoting – so that nothing gets stuck at the border.
What matters
- Export from the EU
- Export requires a customs declaration. Whether you appoint a customs agent or we organise it via partners is agreed beforehand.
- Import in the destination country
- The destination country has its own formalities and possibly duties. Who is the importer and bears them is set by the sales contract – we ask about it.
- Documents
- Commercial invoice, packing list and other evidence have to match the machine. Details such as weight and dimensions should be identical everywhere.
- Route
- Not every corridor is a pure road route. For some destinations sea or combined routes come into question – we check this route by route.
Planning questions
We clarify these points before quoting – the earlier they are known, the more precise the plan.
- Which country is the machine going to, and who is the consignee and importer there?
- Who handles the export declaration – you, your customs agent, or should we organise it?
- Which delivery term (e.g. Incoterm) has been agreed?
- Are the commercial invoice and packing list available, and do weight and dimensions match our details?
- Are there specific export rules for the machine that you have already checked?
What we need from you
- Destination country and consignee
- Agreed delivery term
- Commercial invoice and packing list (once available)
- Who handles customs formalities
Preparation: You hand the machine over ready for transport – dismantling, later installation and commissioning are done by your team or the manufacturer's service.

Questions and answers: Machinery export to non-EU countries
Who handles the customs declaration for a machinery export?
We agree this together before the quote: either you instruct a customs agent, or we organise the declaration via partners. Then we plan the transport.
Is every export route a pure road route?
No. The United Kingdom involves a sea crossing, and for the Middle East sea or combined routes come into question. We check the route for each corridor.
Who clarifies whether a machine may be exported?
The shipper does, usually with their customs agent. With that information and those documents we plan the transport.
