Documents for exporting machinery
When a machine leaves the EU, it travels with papers. Exactly which ones are needed depends on the destination country, the delivery term and the machine. This page shows the typical documents – the specific check is done by your customs agent or whoever files the export.
What matters
- Commercial invoice
- It names seller, buyer, goods, value and delivery term and is the basis for the customs declarations.
- Packing list
- It lists every package with dimensions and weight. The figures should match our transport plan.
- Export declaration
- Export from the EU requires an electronic customs declaration. Who files it is agreed beforehand.
- Further evidence
- Depending on the destination, proof of origin or, for temporary exports such as trade fairs, an ATA Carnet may come into question.
Planning questions
We clarify these points before quoting – the earlier they are known, the more precise the plan.
- Are commercial invoice and packing list available, or when will they be issued?
- Who files the export declaration?
- Which delivery term has been agreed?
- Does the destination country require proof of origin?
- Is the export permanent or temporary?

Questions and answers: Documents for machinery exports
Who files the export declaration from the EU?
That is agreed before the quote: you, your customs agent or we via partners. No export transport starts without this being clear.
When does an ATA Carnet come into question?
For temporary exports, for example to trade fairs outside the EU. Whether it fits is clarified by your customs agent or the issuing body.
Who gives binding information on customs and duties?
Customs authorities and customs agents. With the agreed documents we then plan the transport.
